Booking, Cancellation & Payment Policy

Privacy and Cookie Policy for Gcmathstutoring.com

Effective Date: 05/04/2025

This Booking, Cancellation and Payment Policy (“Policy”) sets out the terms under which tutoring services (“Sessions”) are provided by GC Maths Tutoring (“the Tutor”, “we”, “us”, “our”) to clients (“you”, “the Client”, “the Student”). By booking or attending any Session, subscribing to a payment plan, or making any payment through GCMathsTutoring.com, you agree to be bound by this Policy.

1. Definition of Services

​

GC Maths Tutoring provides 1-to-1 online Maths tutoring sessions via video call.
Unless otherwise agreed in writing:

  • All standard Sessions are 60 minutes.

  • Double-length or alternative-length Sessions may be arranged only at the Tutor’s discretion.

 

Sessions may be delivered to children, young people or adults, but all bookings and payments must comply with the age and permission requirements in Section 12.

 

2. Booking Policy

2.1 How far in advance you may book

You may book Sessions as far in advance as you wish.

 

Payment is taken at the time of booking.

 

If you later cancel a prepaid Session (even outside the normal cancellation window), GC Maths Tutoring reserves the right to deduct a cancellation administration fee of up to 10% of the Session cost.

 

2.2 Minimum notice required to book

  • New bookings must be made at least 48 hours before the Session start time.

  • Existing students may request Sessions with shorter notice, solely at the Tutor’s discretion.

 

2.3 Recurring weekly sessions and payment plans

You may subscribe to a recurring weekly plan (one Session per week or two Sessions per week).

  • Payment is charged weekly on a recurring basis.

  • Your responsibility: You must book your Session times directly with your tutor after the first Session.

  • GC Maths Tutoring does not guarantee a recurring time slot unless it has been mutually agreed and reserved in advance.

 

2.4 Responsibility to schedule Sessions

You must ensure that Session dates are arranged with your tutor in advance.
We recommend booking several weeks ahead to secure preferred times.

 

3. Cancellation, Rearrangement & No-Show Policy

 

3.1 Cancellation by the Client

To cancel a Session entirely (with no rearrangement):

  • You must provide 48 hours’ notice or more before the scheduled start time.

  • Cancellations with less than 48 hours' notice may be charged the full Session fee.

 

3.2 Rearranging a Session

To rearrange (reschedule) a Session:

  • You must provide at least 24 hours’ notice.

  • Rearrangement requests must be made directly with the Tutor, not via the website.

  • Requests made within 24 hours may be charged the full fee, subject to Tutor discretion.

 

3.3 Late cancellations (within 48 hours)

If less than 48 hours’ notice is given:

  • We reserve the right to charge the full Session fee.

  • Tutor discretion may be applied case-by-case.

 

3.4 Rearrangement requests within 24 hours

If less than 24 hours’ notice is given:

  • The Tutor may charge the full Session fee.

  • Any accommodation offered is entirely at the Tutor’s discretion.

 

3.5 Definition of a No-Show

A “no-show” occurs when:

  • The Student fails to attend the Session; or

  • The Student joins after more than half the session missed

No-Show Billing

  • No-shows are billed at the full Session fee with no refund.

  • Time lost due to lateness cannot be added to the Session.

 

3.6 Repeated no-shows or late cancellations

Repeated failures to attend may result in:

  • Termination of the tutoring relationship

  • Refusal of future bookings

  • Requirement for advance payment only

This is at the Tutor’s discretion.

 

4. Payment Terms

 

4.1 Accepted payment methods

GC Maths Tutoring accepts payments through the following payment portals (where enabled):

  • Debit/Credit Card

  • Apple Pay

  • Google Pay

  • Monzo Bank Payment Link

 

4.2 Prepayment requirement

All Sessions, whether pay-as-you-go or part of a weekly plan, must be fully prepaid, normally at least 48 hours before the scheduled start time.

If payment has not been received, the Tutor may:

  • Pause or cancel the Session

  • Decline attendance

  • Notify the client of the failure and attempt reprocessing

 

4.3 Payment failures

If a recurring weekly payment fails:

  1. We will attempt manual payment collection within 48 hours.

  2. We will attempt to contact you.

  3. If payment cannot be collected before the next Session:

    • The Session may be cancelled, and

    • You will be informed of the cancellation.

 

4.4 Refunds

Refunds will be issued only when:

  • The Tutor is unable to deliver a Session AND

  • Rearrangement or credit is not possible OR has been refused.

Refunds for client cancellations are not offered except in exceptional circumstances and solely at Tutor discretion.

 

5. Tutor-Initiated Cancellations

If the Tutor must cancel a Session:

  • At least 24 hours’ notice will be given, except in emergencies.

  • You will be offered one of the following:

    • A rearranged Session at the earliest mutual availability

    • A Session credit valid for 3 months

    • A monetary refund (Tutor discretion)

 

6. Technical Issues & Internet Problems

 

6.1 Client technical failure

If the Client experiences internet failure, hardware malfunction, or other personal technical issues:

  • The Session may be rearranged only at the Tutor’s discretion.

  • The Tutor may still charge the full fee.

 

6.2 Tutor technical failure

If the Tutor experiences technical problems:

  • The Session will be rearranged at no additional cost.

  • If rearrangement is not possible, credit or refund options will be provided as in Section 5.

 

7. Behaviour, Equipment & Conduct Requirements

Clients and Students must:

  • Behave appropriately and respectfully at all times

  • Students may choose whether or not to have their camera on during online lessons.

    • Camera use is encouraged to support engagement and communication; however, it is not mandatory. Students’ comfort, privacy, and sense of safety are always prioritised and respected.

  • Ensure they have:

    • A functioning computer or laptop

    • Stable internet connection

    • Working microphone and camera

    • All required Maths equipment (stationery, calculator, etc.)

The Tutor reserves the right to end a Session early if behaviour prevents learning; the full fee will still apply.

 

8. Recording Sessions

Recording of any Session is strictly prohibited unless:

  • Explicit permission has been granted by the Tutor, and

  • Both parties agree to the method and reason for recording.

Unauthorised recording may result in termination of services.

 

9. Age & Permission Requirements

  • All payments must be made by someone aged 16 or over using a payment method registered in their name.

  • For Students under 18, the Tutor must have parent/guardian permission for:

    • Bookings

    • Payments

    • Attendance in sessions

 

10. Right to Refuse Service

GC Maths Tutoring reserves the right to refuse service, cancel bookings, or terminate the tutoring relationship due to:

  • Repeated no-shows

  • Aggressive or inappropriate behaviour

  • Non-payment

  • Breaches of this Policy

 

11. Limitation of Liability

GC Maths Tutoring is not responsible for:

  • Exam results

  • School performance

  • Outcomes based on incomplete adherence to tutor recommendations

  • Issues caused by client-side technical problems

Nothing in this Policy limits your statutory rights under UK law.

 

12. Governing Law

This Policy is governed by, and construed in accordance with, the laws of England and Wales.
Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
